Event Coordination:

  • Understand the specific needs of clients and propose customized solutions, while respecting the operational realities of all hotel departments.
  • Prepare event details and communicate all necessary information to the relevant teams through function meetings.
  • Participate in site inspections and lead pre-event meetings (pre-convention).
  • Inspect venues before groups arrive to ensure smooth event execution.

Client Relations:

  • Maintain continuous and professional communication with event organizers.
  • Plan logistical details with organizers, including menus, rooms, technical equipment, activities, and external vendors.
  • Respond to special group requests with proactivity and creativity.

Administrative Management:

  • Configure groups in the reservation system, including rates, rooms, charge distribution, etc.
  • Handle invoicing for each group.
  • Document and archive all important elements related to each event.
  • Perform other related duties as assigned.

Internal Communication:

  • Ensure excellent coordination among all departments to guarantee a seamless client experience.
  • Act as a facilitator for team managers during complex events.
  • Actively participate in sales team meetings and internal communication initiatives.

Professional Qualifications:

  • Proven experience in a similar role within the hospitality, tourism, or events industry.
  • Experience in the tours and travel sector is a definite asset.
  • Fluency in both French and English, with excellent verbal and written communication skills.
  • Proficient in the Microsoft Office Suite (Word, Excel, PowerPoint).
