Assistance with group coordination :
- Configure groups in the reservation system: rates, rooms, distribution of charges, etc.
- Assign rooms in the block according to the list of names for each person in the group.
- Manage individual reservations and billing for groups without a single invoice.
- Reserve group dinners at the restaurant via the platform.
- Coordinate small groups, with or without accommodation, requiring minimal supervision.
- Perform any other tasks required to support the sales/group coordinators.
Administrative management :
- Collect guarantee deposits upon signing contracts, and issue invoices and receipts as needed.
- Perform final billing for each group (entering and extracting transactions, searching for invoices, verifying reports).
- Follow up on invoice payments according to due dates, provide follow-up on the status of accounts receivable
- Any other related tasks
Sales support :
- Contribute to the development of group and event sales opportunities (solicitation, special projects, etc.)
- Any other assistance tasks related to groups
Internal and external communication :
- Act as a liaison for team managers when coordinating groups
- Actively participate in sales team meetings, functional meetings, and internal communication
- Understand customer needs and propose appropriate solutions
Professional Qualifications:
- Proven experience in a similar role within the hospitality, tourism, or events industry.
- Experience in the tours and travel sector is a definite asset.
- Fluency in both French and English, with excellent verbal and written communication skills.
- Proficient in the Microsoft Office Suite (Word, Excel, PowerPoint).
